What we store

Account details (name, email and/or phone, hashed password). For landlords: their properties, units, tenancies, agreements, rent and charge records, meter readings, expenses, and documents they upload. For tenants: the tenancy records their landlord keeps about them, and anything they submit themselves (repair reports, support requests). Activity that changes money or access is written to an audit trail.

Why

To do the one job the product is for: keeping a shared, accurate record of a tenancy between the people in it. Nothing is collected for advertising. We do not sell personal data.

Who can see what

A tenant sees their own tenancy, agreement, charges and receipts. A landlord and the team members they authorise see the records of the properties they manage, scoped by role. Platform staff can access records to operate the service and answer support. Public listings show only what the landlord chose to publish.

Where it lives

Records live in our database; uploaded files live in private object storage. Private documents (such as scanned agreements) are never served from public links: every read checks who is asking. Passwords are stored only as bcrypt hashes. Emails, when configured, are delivered by a transactional email provider that receives the recipient address and message content.

Retention

Rent and agreement records are the point of the product, so they are kept while the account exists. Ended tenancies remain readable to both sides, because disputes outlive tenancies. You can request deletion of your account; records a landlord is required to keep about a tenancy may be retained in their copy.

Your choices

You can read what DeraOS holds about your tenancy from your own account, request a copy, correct wrong details, and contact support@deraos.app about anything here.
